Position Overview:
Schwabe, Williamson & Wyatt is seeking a full time Records Clerk in our Portland, Oregon office. This position will work in the office 5 days a week.
The Records Clerk, under the supervision of the Director of Intake & Records, provides administrative and operational support to the Records Department through the maintenance, organization, retention, and management of client and firm records.
The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities in a fast-paced environment, and committed to providing excellent internal customer service to attorneys, staff, and clients.
Key Responsibilities:
- Works on client files in the Records Department by creating and distributing new files at request of attorneys or secretaries.
- Closes files according to the firm’s retention policies and procedures.
- Performs data entry work.
- Processes automated and manual records forms.
- Performs other duties as required including, but not limited to: maintenance of will safes, organization of file banks, maintenance of statistics and logs, assisting attorneys and secretaries by responding to telephone and e-mail inquiries.
Requirements:
- Previous clerical, administrative, customer service, or office experience preferred, but not required.
- Basic computer proficiency, including experience with Microsoft Office applications and data entry systems is a plus.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment.
- Ability to communicate professionally and effectively with attorneys, staff, clients, and vendors.
- Demonstrated ability to work collaboratively in a team-oriented environment while also managing individual responsibilities effectively.
